The issue

Health Matters were running key processes across three separate systems. Bookings and learner records lived in Accessplanit, finance sat in Xero and online learning was delivered through TalentLMS. Keeping everything aligned meant constant copy and paste, CSV exports and manual checks. It slowed invoicing, created version-control headaches and made reporting harder than it needed to be.

An integration approach was needed so Accessplanit, Xero and TalentLMS stayed in step and the team could trust one source of truth.

How we helped

We designed and delivered an integration that connects Accessplanit with Xero and TalentLMS so information flows automatically between the platforms. Using secure APIs and event-based syncing where appropriate, bookings and learner details move from Accessplanit into TalentLMS for enrolment, while course and delegate data drive the creation and reconciliation of invoices in Xero. Status changes and key updates are written back so records stay consistent. The result is faster admin, fewer errors and clear visibility across training and finance.

Our first step was to map processes and data fields across Accessplanit, Xero and TalentLMS, agreeing the direction of travel and the moments that should trigger updates. We then implemented the integration in a way that minimises manual effort: create a booking in Accessplanit and the matching contact and invoice are handled in Xero, while the learner is enrolled in the correct course in TalentLMS. Where real-time updates were required, we used event notifications; where a scheduled sync made more sense, we batched changes. Robust logging and error handling keep the team informed, and role-based access ensures the integration respects security and GDPR.
